Job Description

PRIMARY RESPONSIBILITIES: Support the construction management staff to ensure daily operations, paper communication, cost accounting, and sales/marketing goals are accurately completed, tracked and maintained.

ESSENTIAL DUTIES:

  • Oversees administrative staff by communication job expectations, planning, monitoring, and appraising job results; coaching, counseling, and disciplining employees, coordinating, and enforcing systems, policies and procedures.
  • Responsible for recruiting, selecting, and training administrative employees; maintaining a safe and secure work environment; developing personal growth opportunities.
  • Assist with cost accounting for the construction business and projects.
  • Data entry of materials and labor expenses.
  • Update and maintain customer base referral and sales reports.
  • Manage new customer requests and paperwork with Finance Dept.
  • Manage the timely collection of customer payments and the construction lien process.
  • Reconcile general ledger for construction projects and ensure financial accuracy.
  • Administer payroll deduction reports and ensure payroll deducts the proper amounts.
  • Track and report on closed project budgets vs. Actual costs.
  • Manage inventory accounts for materials, tools and equipment.
  • Manage phone calls with new and current customers.
  • Maintain a consistent, track able, measurable sales/marketing plan.
  • Manage administrative projects that lead to greater sales and customer satisfaction.
  • Coordinate daily field activities for sales and operations.
  • Coordinate HR form-filling for new hire and rehire candidates.
  • Assist with new hire screening process.

    PHYSICAL REQUIREMENTS:

    • Must be able to sit or stand continuously for long periods of time.
    • Keyboarding

    MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS: 

    • High School Diploma + two years college.
    • 6+ years of relevant work experience in administrative support functions with MS Suite programs (Word, PowerPoint, Excel, and Outlook) is required.
    • Marketing/ Inside sales experience preferred.
    • Basic accounting training and experience required.
    • Ability to type 40 wpm.
