Job Description POSITION PURPOSE:

Support Automotive Traditional sales efforts, order fulfillment, direct marketing activities and general department support.  DUTIES, TASKS AND RESPONSIBILITIES: 

 

  • Enter Automotive Traditional Sales Group customer orders
  • Review and send back incorrect purchase orders.  Verify part numbers,  freight and payment terms; price
  • Field customer calls regarding product knowledge, order information, pricing and freight issues.
  • National Accounts – Verify Master Distributor can handle their orders.
  • Process the credits and invoices for the CW accounts.
  • Resolve billing discrepancies per customer requests.
  • EDI set up, revision and trouble shoot.
  • Contact transportation manager to obtain tracking on orders – not reported into AS400
  • Verify product is being shipped from the correct terminal.
  • Release CPU orders
  • Return Material Authorization for miss-shipments, damages and quantity issues.
  • Process sample and label requests and POS materials.
  • Process Customer Warehouse orders.  Follow up with distributor that the order ships within the required timeframe, paperwork is sent back, credits and invoices are processed.
  • Resolve quantity problems prior to billing order.
  • Follow up with operations to make sure product is available based on customer required date.
  • Customer Master Information Database.  Maintain customer file information and accuracy.   Hard Code important information in the Notes.
  • Set up new customers.  Make sure all vital information is correct:  billing, ship to addresses, payment & freight terms, contacts with phone numbers and emails, tax or exempt.
  • Send Canadian Customs paperwork.
  • Work with Credit to release orders and resolve problems.
  • Process credit card orders and bill sending credit card confirmation to credit department

    Job RequirementsSKILLS, KNOWLEDGE AND ABILITIES:

     

     

    • Associate Degree with general business concentration or equivalent customer service experience.
    • 2-3 years customer service experience with OEMs, Fleets and business to business customers.
    • Intermediate personal (MS Word, Excel, Access Database) and mainframe automated order entry system computer skills required.  Knowledge of Covisiant System and AS 400 is a real plus.
    • Good proactive interpersonal, written, verbal communication and team skills.
    • Must be able to multi-task and prioritize workload
