Description:

- Assist client employees, consultants and guests of the company with booking airline, hotel and car reservations by providing various options and their associated costs.

- Receive travel requests and researches options for most efficient travel arrangements at the lowest cost to client, using preferred vendors when possible.

- Issue and validate airline tickets from computerized system.

- Obtain confirmation of car rentals and lodging space using negotiated rates from preferred vendors.

- Communicate all pertinent travel information to each travelers via e-mail

- Use resources to provide options for hotels and car rentals and answer inquiries concerning routes, fares and accommodations.

- Track direct billing for cars and hotels.

- Capture pertinent accounting information on all airfare invoices for internal accounting purposes and management reporting.

- Track unused airline credits and process refunds on any unused airline tickets for all individual travelers.

- Inform international travelers about documentation requirements for entry in other countries.

- Assist travelers with obtaining passports and visas when necessary.

- Negotiate contracted rates at preferred hotels in our most frequented cities.

- Arrange in-bound group travel for training including meeting space, catering and audiovisual equipment, if applicable.

- Assist with off site day meetings for all departments

- Negotiate zones fares with specific airlines for group travel, if applicable.

- Does training on travel related processes, if applicable.

- Arrange charter flights and car service arrangements for executives when requested.

- Update shared spreadsheet on attendees for all meetings and tradeshows to ensure all travel department members have access to accurate information.

Job Requirements


- 8+ years doing corporate travel with at least 2 years on-site inside a corporation.

- Prefer experience on GDS:  Apollo/Travelport

Education: 

- High school diploma, travel school certification and four year's related experience; or equivalent combination of education and experience.

- Associates or Bachelor’s Degree preferred
