Job Description Job Summary:

Performs secretarial and administrative support duties for the division heads/officers of the company. May make high-level contacts of a sensitive, complex, and highly confidential nature both inside and outside of the company. 

Essential Duties & Accountabilities

Provides division head/officer or professional staff with administrative and secretarial support:

  • Coordinates schedules; including making appointments, establishing agendas, and keeping minutes (as needed).
  • Arranges and coordinates all business travel.
  • Handles all confidential material relevant to company operations.
  • Screens telephone calls and incoming mail.
  • Performs word processing duties as needed..
  • Acts proactively in all support functions.
  •  

    Performs various analytical special projects; assists in creation of PowerPoint presentations, especially involving budgets and preparations for department and executive management meetings. Assists in producing weekly and monthly reports and processing of expense reports.

     

    Coordinates and arranges management meetings; arranges use of conference rooms and use of outside facilities when needed.

     

    Serves as the business unit contact person to people inside and outside of the company.

     

    Collaborates with various staff and departments in preparing special projects.

     

    Accurately tracks and records etime for all of Director’s direct reports

    Participates in special projects and performs other duties as required

    Job Requirements

    In addition to the essential duties and responsibilities listed above, all positions are also responsible for:

    • Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work related tasks in a manner that is in compliance with all Company policies and procedures including WorldWide Business Standards.
    • Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.

    Experience:

    Minimum 5 years in administrative/executive secretarial position in a corporate setting.

    Ability to handle highly confidential information.



    Specialized Knowledge and Skills

    Excellent knowledge of Microsoft Office: Word, Excel, and PowerPoint are required for generation of reports, memoranda, and presentations.  Excellent verbal and written communication and interpersonal skills.  Must be extremely detail-oriented and able to handle confidential information.  Professional appearance and presentation required.  Dependable and dedicated.  Strong ability to operate computers, printers, copiers, and fax machines.  Broad knowledge of administrative practices and procedures; knowledge of U.S. and international protocol a plus
