Job Description Seeking an Administrative Assistant who could also fill a position of Front Desk Receptionist. Must be very professional, polished and reliable. The successful candidate will have a courteous and professional demeanor, a few years of experience in a corporate environment and will demonstrate the following competencies: excellent organization and prioritization skills; collaborative, adaptive and proactive nature; solution/results oriented; strong ability to take ownership of work, strong customer focus and the ability to function fast paced environment while displaying patience and a positive attitude. Prior administration experience interacting with HealthCare Professionals (HCP) on manager-s behalf. Bi-lingual fluency in English and Japanese, a plus. Duties will include: Primary responsibilities will be supporting the commercial team preparing grant packets for review and sending acceptance/denial letters. Responsible for all contracts (CDA-s, MSA-s, SOW-s & HCP contracts) to ensure necessary documents and approvals have been submitted and input all information into the Novatus system and tracking documents through Coupa. Act as the Product Review coordinator submitting Product Review Committee (PRC) documents into PromoMats for review and tracking. Assisting the marketing department as needed ie; finalizing expense reports, meeting scheduling and making travel arrangements. Answer incoming calls. Provide general information and direct callers to appropriate party or voice mail box. Providing administrative support to team members. Greet and maintain a log of visitors. Contact host when their guest has arrived. Direct visitors to the waiting area and offer beverages (if available). Display professionalism and a sense of pride in all aspects of his/her duties and responsibilities. Establish a strong rapport with clients, vendors and contractors. Expedite emergency calls (when possible) by contacting vendors and building manager, or other appropriate individual(s). Provide support to administrative staff in such activities as document filing, Microsoft Word and Excel document preparation and invoice processing. Maintain schedule for conference rooms at location. Adhere to company policies and procedures. Manage and maintain parking voucher distribution and issuance records. Manage, maintain and order standard office supply inventory. Other Job Functions: Keep reception area and any adjacent conference areas neat and orderly. Maintain log of incoming deliveries and distribute mail and overnight packages. Assist with mailing, e-mails, and any other clerical projects.
Job RequirementsBi-lingual fluency in English and Japanese, a plus.
