Job Description Title: BSL Site AdministratorReports to: Site Manager, Dotted to HRBPGrade: 7Job DescriptionThe incumbent supports the Bay St Louis site in an administrative capacity performing a variety of office and clerical duties. The incumbent must communicate and interact with leaders of the business, team members of the Bay St Louis site, and other internal and external customers.Essential Functions:Primary duties and responsibilities are defined by the Plant Manager and the Human Resource Manager, but also include activities that support other areas of the plant. They include but are not limited to the following:• Type and maintain documents to support various aspects of business conducted at the Bay St Louis site.• Type and maintain documents to support Bay St Louis site Human Resource function.Update Human Resource and Payroll Policies in Qualtrax.• Maintain computerized and /or hard copy personnel records and other confidential files.• Collect and maintain data required by various government agencies regarding employment.• Generate reports related to payroll, overtime, headcount, or other personnel activities.• Generate reports or documents related to production• Document & track internal personnel moves, promotions, performance reviews, and other personnel actions in SAP HCM• Initiate payroll changes as instructed.• Assist leaders with travel arrangements.• Coordinate / arrange meetings, take meeting minutes and other details as requested• Assist with scheduling and coordinating site and customer events• Be available for internal customers as a contact for urgent communications• Handle and direct incoming calls as required; Answer and respond to general inquiries and internal customer calls• Generate communications for plant distribution (i.e. bulletin board postings, site-wide messages,)• Be focal point for distribution of communications; keep bulletin boards and kiosks current, distribute mail, etc.• Order office supplies for administration building• Responsible for maintaining and troubleshooting BSL site Telephone system• Responsible for corporate credit card, including reconciliation of receipts in Concur System.• Write purchase requisitions and SESs for invoices of vendors using the MM SAP System with follow through until invoices are paidAdditional Duties:Provide administrative back-up support to the site payroll clerk or other administrative assistants on and off site.Qualifications• Minimum education requirements include high school graduation, GED or equivalent demonstration of skills. Strong computer skills and demonstrated experience with various software is critical to this position (MS Word, Excel, PowerPoint, Exchange, Internet Explorer, Business Objects and Oracle.) • Strong professional communication skills (written and verbal) are necessary in order to interact with internal customers and outside businesses or government agencies. • Good problem solving skills, interpersonal skills, excellent organizational and time management skills required. • Must be proficient in typing, distribution and report filing, scheduling of meetings, relaying messages and coordinating travel arrangements. • A minimum of 3 years of experience as an executive or human resource administrator demonstrating ability to manage multiple priorities and responsibilities. Work Hours and Environment:Job tasks are both office /computer related as well as production related. Incumbent must be able to walk throughout the plant, sit and stand for long periods of time while developing or conducting training. Work hours are primarily days with limited overtime. Performance Standards:• Be self-directed, have the ability to perform with minimal supervision but also be a team player that voluntarily assists team members when needed and work harmoniously with all levels of employees.• Comply with deadlines.• Meet site standards of conduct and performance and follow site policies and practices.• Exhibit professional behavior in interactions with employees and internal customers.• Input data accurately, be able to focus on the details and double-check data entries.• Use proper grammar and correct spelling in communications.• Be creative and proactive (take the initiative). • Have strong execution on tracking of activities Physical Requirements:Climbing: Climb stairs less than 1/8 of time.Sitting: Sit for computer and deskwork more than 2/3 of time.Standing: Stand for general admin work less than 1/4 of time. Walking: Walk around the plant less than 1/3 of time.Stooping: Stoop for general admin work less than 1/4 of time.Reaching: Reach for general admin work less than 1/3 of time.Lifting: Lift for general admin work (files, books, etc) less than 1/3 of time.Pushing/ Pulling: Push or pull for general admin work less than 1/3 of time. Indoor: Mostly indoor desk work.Outdoor: Occasionally walk outdoors in the plant as needed.Working Hours: 40-hour week, Monday through Friday, Days; overtime may be required as business needs dictate.
