Responsibilities and Duties: Accounts Payable Coordination:

Review, enter and balance to A/P daily reports all vendor invoices generated out of Portsmouth, NH office

Clear open invoices from system using mark and pay system

Obtain tax information (Form W-9) from all new vendors

Prepare new vendor requests for Heinemann office

Coordinate all rush vouchers for NH office

Work with vendors on issues such as payment details and void requests

Monitor and audit all T&E expense reports in coordination with Heinemann’s policies and procedures

Maintain Heinemann Purchase Order System

Manage Heinemann’s Prepaid Account

Print and Distribute monthly expenditure reports for various department heads

Perform End of Month duties for Accounts Payable

Prepare monthly General Ledger Reconciliation’s

Assist with end of month Journal Entry processing

Any other duties as requested

Requirements:
Knowledge, Skills, Abilities:

Strong organizational skills, ability to multi-task, high level of accuracy and attention to detail

Excellent written and oral communication skills are a must.

Ability to evaluate work processes and recommend and/or implement improvements

Flexibility, willingness to learn, adapt and respond to managerial objectives

Education and Experience:

Associate’s degree in Accounting or Finance preferred, but not necessary

Some Accounting and Finance experience in a similar role

Candidate must be proficient with Microsoft Office (Word, Excel & Access) products

SAP experience required
